Team Account Agreement
Version 2026-10-29. Last updated: October 29, 2026
In short: when you start, join or use a team on RouteWren, this agreement applies as well as our Terms of Service and Privacy Policy. The business that pays for the team is responsible for its people and owns its business records; the office can see and give out work, and every look at a member's work is logged for them to see. If this agreement and the Terms disagree about a team, this agreement wins.
1. What This Covers
A team account ("team") lets a business (the "team customer") pay for several people's RouteWren accounts. If you start a team, you confirm that you are authorized to act for that business, and these Terms bind the business as well as you.
This agreement is separate from the Terms of Service so that changes to team accounts don't change the terms for people who don't use a team. We can update it on its own; when we do, everyone on a team is asked to agree to the new version before carrying on with team features.
2. How Teams Work
- Who is responsible. The team customer is responsible for its members' use of RouteWren, including every text and email they send. For messaging laws such as CASL, the business is the sender of its members' appointment messages, and each message must identify it.
- Business records. The visits, appointment records, mileage and contact-time records that members create while on the team belong to the team customer and are under its control, as set in the team's setting for what happens when someone leaves. Each member keeps their own login, password, personal settings and texting setup.
- What the team can see. Before joining, each member is shown what the team's owner, dispatchers and read-only users can see. Joining means the member agrees to it. Owners and dispatchers can open members' visits and messages; each time they do is recorded in a log the member can see. RouteWren does not track anyone's location.
- Leaving or being removed. A member can leave, and the owner or a dispatcher can remove a member, at any time. Under the default setting, the team keeps the member's open visits (handed to another member or deleted) and their mileage and contact-time records. The member's account becomes a solo account with 14 days to choose a plan (if the team was paying; after a free team trial, the member's account goes back to the Free plan). A member who pays for their own plan keeps it.
- Billing. A team is billed monthly for a base price, which includes one field user, plus a price for each extra field seat, as shown in the app when you start the team plan. Adding seats is charged right away for the rest of the billing period. Lowering the number of seats takes effect at the next renewal, with no refund for the current period. Removing a person does not lower the seat count. Section 5 of the Terms of Service (Plans, Billing and Cancellation) applies to team plans as well.
- Members' own plans. When the team starts paying for a member who already has their own plan, that plan is set not to renew, and it stays active until the end of the period already paid for.
- Closing a team. The owner can close the team. Its plan is cancelled, each member keeps their own visits and becomes a solo account with 14 days to choose a plan (if the team was paying; after a free team trial, the member's account goes back to the Free plan), and the team's log and the records kept from people who left are deleted.
3. Jobs the Office Gives Out
- Giving out work. The owner and dispatchers can add a job and give it to a field user, either for the field user to book (by a deadline or within a window) or booked by the office for a day and time. The office is responsible for any time it sets or agrees with a customer.
- Changes. When a field user changes a job the office gave out (its time, day or deadline, or the customer can't make it), the office is told and the change is recorded in the team's log.
- Moving and taking back. The office can give a job to someone else, with its messages and calls, or take it back. If the customer has already been given a time, the office is responsible for telling them about any change.
- Messages to customers. Messages about team jobs are sent by the field user's account, in the team customer's name, under the messaging rules in the Terms of Service.
4. Teams Are Being Developed
Team accounts are in active development. Features can change, and some may be added, changed or removed with notice in the app. While new team sign-ups are paused ("coming soon"), teams already running carry on as they are.
5. Everything Else
The Terms of Service and Privacy Policy apply to team accounts in every other respect, including acceptable use, messaging rules, limits of liability and how to contact us (support@routewren.com).
