Privacy Policy
Last updated: October 24, 2026
In short: we collect only what we need to run RouteWren. We don't sell data, show ads or use tracking cookies. The details of your customers that you enter are yours; you're responsible for having permission to use them, and we only process them to provide the service to you.
This policy explains how RouteWren ("RouteWren", "we", "us") handles personal information when you use the RouteWren website and app (the "Service"). It forms part of our Terms of Service.
1. Two kinds of information
- Your account information: information about you, the RouteWren customer. We are responsible for it under this policy.
- Your Data: the information you enter about the people you visit (names, addresses, phone numbers, notes, and texts sent and received). You control it and are responsible for collecting and using it lawfully. We process it only on your behalf, to provide the Service to you.
2. What we collect
- Account details: your name, email address and password (stored only as a one-way hash; we can't see it).
- Settings you enter: such as your business name, cell number, base address and message templates.
- Texting provider credentials you choose to add (httpSMS API key, Twilio Account SID and Auth Token). They are kept on the server and never shown back in full.
- Billing: your plan and subscription status. Payments are handled by Stripe; we never receive or store your full card number.
- Records of agreement: the date, version and IP address when you accepted our Terms and this policy.
- Security and technical data: IP addresses of failed log-in attempts (deleted within a day), and basic server logs kept by our hosting provider.
- Your Data as described above.
3. Cookies
We use one essential cookie to keep you logged in. We do not use advertising or analytics cookies, and we do not track you across other sites. The app may also save a copy of your recent schedule on your own device so it can open without signal.
4. How we use information
- to provide the Service: plan routes, calculate drive times, send the texts you ask to send, and show replies;
- to manage your account, subscription and billing;
- to keep the Service secure and prevent abuse;
- to answer your questions and send essential service messages (for example, password resets or changes to these terms); and
- to meet legal and tax obligations.
We do not sell personal information, use it for advertising, or use Your Data for any purpose other than providing the Service to you.
5. Who we share it with
We share information only with service providers that help us run RouteWren, and only what they need:
- Cloudflare: hosting, storage and security for the Service.
- Google Maps Platform: addresses are sent to locate them and calculate drive times.
- Stripe: subscription payments and invoices.
- Email delivery provider: to send password-reset and service emails.
- The texting provider you choose (httpSMS or Twilio): when you send a text, the recipient's number and the message are sent to that provider under your own account with them. They handle it under their own privacy policies; RouteWren is not affiliated with them.
We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a sale or reorganization of our business (with notice to you).
6. Where information is stored
RouteWren is run from British Columbia, Canada. Our providers may store and process information in Canada, the United States and other countries, where it may be subject to the laws of those countries.
7. How we protect it
Each account's stops, routes and texts are kept in a separate database that other accounts cannot reach. Connections are encrypted, passwords are hashed, provider keys are never shown back in full, and repeated failed log-ins are slowed down. No system is perfectly secure, so please use a strong, unique password and tell us right away if you suspect a problem.
8. How long we keep it
We keep your account information and Your Data while your account is open. When you delete your account in Settings, your account and Your Data are deleted right away, except billing records and records of your agreement to our terms, which we keep as long as tax and legal rules require. Hosting-provider backups expire on their normal schedule.
9. Your choices and rights
You can see and correct most of your information in the app, and delete your account and all Your Data at any time in Settings. Under Canadian privacy law (PIPEDA and applicable provincial laws) and other laws that may apply to you, you can also ask us for access to, or correction of, personal information we hold about you, or ask questions about how we handle it, by emailing support@routewren.com. If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada.
If you are one of our customers' contacts and want your information changed or removed, please contact the business that texted you; they control that information. We will help them respond.
10. Children
The Service is for adults using it for work. We do not knowingly collect information from children.
11. Changes
If we make a material change to this policy, we will tell you by email or in the app before it takes effect.
