Book a Day of Inspections Before Your Coffee’s Cold

Scheduling and Route Planning for Independent Adjusters

Paste in your open claims, pick a day, and RouteWren builds the route, times every inspection, and texts each insured their appointment from your own number. Replies land on the claim. Built by an Independent Adjuster, for Independent, Staff and CAT Adjusters.

No card needed. Every feature on every plan.

The Morning Phone-Tag Problem

New assignments come in, the clock on first contact starts, and the next two hours go to voicemails, call-backs and "does 10:30 work?" We built RouteWren because we spent too many mornings doing exactly that. It does that part for you.

Contact Everyone in One Tap

Each insured gets a text with their own day and time and your name, so first contact happens the same morning the claims arrive.

Answers on the Claim

"Yes", "can you do after 11" or "we're away this week" shows up on the right claim. Confirm, give a new time or decline with one tap.

Cancellations Refill Themselves

A decline turns into an open spot. Tap Fill and RouteWren offers it to a claim still waiting for a date, or switch on automatic filling in Settings.

Contact Times on Record

Every claim shows when you first texted the insured and when they first replied. Export them with your route for your diary notes.

Give Them a Choice

Offer two or three inspection times that fit your route. When they reply with one, or tap it on their confirm link, it's booked.

Mileage for Your Invoices

Each day's driving from your route, or your odometer, exported by day, week or month as a spreadsheet or PDF.

How Do Adjusters Meet the 24-Hour Contact and 72-Hour Inspection Standards?

Many carriers and IA firms set service standards for field adjusters. A common pattern is first contact with the insured within 24 hours of assignment and an inspection within about 72 hours, though the exact numbers vary by carrier, by line of business and by province or state, and catastrophe events often have their own rules. Check your own guidelines; the point is that the clock starts when the assignment lands, not when you get around to calling.

The slow part is rarely the inspection. It's reaching people. Insureds are at work, don't answer unknown numbers, or call back while you're on a roof. A text with a specific day and time, from a number they can save, gets answered on their schedule instead of yours.

Here's how RouteWren fits those deadlines:

  • Put the inspection deadline in the due date. When you plan a day, RouteWren puts the most urgent claims first, so the urgent files are never the ones left over.
  • Text the whole batch at once. Import the morning's assignments, plan the next day or two, and tap Message appointments. Every insured has a time before lunch.
  • Keep the evidence. Each claim records when you first texted and when the insured first replied. Download the route as a spreadsheet or PDF, with every text in both directions, for your file notes or a reviewer's questions.
  • Rebuild without breaking promises. Times you've already sent don't change on you, so you can add a new claim and re-plan without calling anyone back. A water loss needing moisture readings can get 90 minutes while a fence claim gets 30.
  • Follow up on the quiet ones. Claims still waiting for a reply are easy to spot. Send a follow-up, offer other times, or pick up the phone for the few who really need a call.

RouteWren doesn't know your carrier's service standards and doesn't report to anyone. It helps you hit them and keeps a record of what you did.

What's the Best Way to Plan a CAT Deployment?

On a storm, the claim count is high, the roads are new to you, and half the insureds are dealing with tarps, contractors and their own insurance calls. A few habits make a big difference:

  1. Load everything on day one. Import the full assignment list, even the claims you won't reach this week. The more RouteWren can see, the better your days fit together.
  2. Plan a few days at a time, not the whole deployment. Plan several days turns your claims into three or four tidy days of inspections, each timed around the drive. Text those insureds, and leave the rest for later. Priorities shift as new claims arrive and supplements come in.
  3. Offer a choice when people are hard to pin down. Offer times texts two or three slots that fit around your other inspections. Turn on the confirm link and they can tap the one they want.
  4. Let cancellations fill themselves. When someone can't make it, their slot becomes an open spot. With automatic filling switched on, RouteWren offers it to insureds still waiting for a date, so the slot doesn't go to waste.
  5. Keep your phone in the loop. Notifications tell you when someone replies, remind you before each inspection and nudge you when it's time to leave. Today's route still opens if the cell network is patchy. Behind after a big roof? Running late tells your next insured, or everyone left today, your new time in one tap.

New assignments arriving by email? Switch on add stops by email in Settings and forward the assignment to your private RouteWren address. It's added to your list as a claim, ready to plan, without retyping a thing.

How Do I Import a Claim List?

  1. Get the list into a spreadsheet. Export your assignments to CSV from your claim system, or copy the rows into Excel or Google Sheets with a header row.
  2. Paste or upload it. On the Stops tab, tap Add, then Import a list. RouteWren matches the insured's name, loss address, phone, email, claim number, due date and notes, and shows a preview before anything is saved.
  3. Re-import whenever the list changes. Importing the same list again updates existing claims instead of duplicating them, so you can refresh from your firm's list as often as you like.

There's no direct connection to carrier or IA firm claim systems. If your firm wants claims to arrive by themselves, our API is included in every plan and switched on by request.

How Adjusters Set Up Their Texts

  1. Write your text once. For example: "Hi {contact}, this is Pat, the adjuster for your claim. I can inspect on Thursday between 10:00 and 11:00 AM. Does that work?" Keep separate templates for first contact, re-inspections and supplements. Templates come in English and French, which helps with insureds in Quebec, New Brunswick and francophone communities across the country. Need wording? See our appointment confirmation text templates.
  2. Choose how texts are sent. Manual (free, from your Messages app), your own Android phone through httpSMS, or Twilio. Prefer email? Choose Email only and each insured gets an email with a button to confirm or change. The texting setup guide walks through each option.
  3. Send yourself a test during the trial, so you know it works before a deployment.
  4. Plan, text, drive. Directions opens the route in Google Maps. Tap I'm here on arrival and mark each inspection visited as you go, so your route report shows actual time on site.

RouteWren texts insureds about inspections they're expecting, not marketing. STOP replies are honoured automatically, and texts aren't sent overnight.

Can I Keep an Adjuster Mileage Log for Billing?

Yes. The Mileage tab fills in each day's driving from your route, from your base to every claim and home again. Add odometer readings if your firm or carrier wants them, set your own rate per kilometre, or turn on CRA rates (for 2026, 73¢ per km for the first 5,000 km and 67¢ after). Export a day, week, month or year as a spreadsheet, or print it for your invoice or your accountant. See the mileage log page or try the CRA mileage calculator.

Routes themselves are deleted 14 days after their date, so claim details don't sit on our servers. Your mileage log keeps your daily totals after that.

Adjuster Questions

Can I load my claims from my carrier's or IA firm's claim system?

Copy your assignment list into a spreadsheet, or export it to CSV, and paste or upload it into RouteWren. It matches the columns (insured name, loss address, phone, claim number) and shows a preview first. Importing the same list again updates existing claims instead of duplicating them. There's no direct connection to carrier or IA firm claim systems, but your firm can add claims automatically with our API, available on request.

Do the texts come from my number?

Yes with manual texting or the httpSMS option on an Android phone, so insureds see the number they already have for you and replies come straight back. With Twilio, texts come from a number you rent. RouteWren isn't affiliated with httpSMS or Twilio; you pay them directly.

Can I text insureds automatically from an iPhone?

Not from your iPhone's own number. On an iPhone you can text manually (RouteWren writes each message and opens Messages for you), use Twilio for automatic texts from a rented number, or send appointment emails instead.

Does it work on a CAT deployment in a city I don't know?

Yes. RouteWren groups claims into sensible days, puts them in a smart driving order and times each inspection around the drive. Today's route still opens if you lose signal, which helps after a storm.

Does RouteWren track my carrier's contact and inspection deadlines?

Not automatically. Put each claim's inspection deadline in its due date and RouteWren puts the most urgent claims first. Each claim also records when you first texted the insured and when they first replied, which you can export for your file notes.

Which plan do Adjusters pick?

Daily-claims Adjusters doing 3 to 5 inspections a day usually fit Plus (100 stops a month) or Pro (250). On deployment, Unlimited monthly lets you switch on for storm season and cancel after, and the yearly plan pays off if you work five or more busy months. See pricing.

Is claim information kept private?

Your account's data is kept separate from every other account, and we never sell data. Only a name and address are required; the claim number is optional. Routes are deleted 14 days after their date. See our Privacy Policy.
